Once the Project is setup and handed over to Data Custodians/Project Managers/Data Managers, they can start uploading their data into Monash SeRP through the Projects and Datasets portal.

The Safe Haven Projects and Datasets are accessed via a portal at https://serp-portal.erc.monash.edu/. For detailed log in instructions, see here


Creating a new dataset for a Project

1. Select your intended project you would like to to create a dataset for, then click Create New Dataset



2. Enter the Dataset Name, then click Create.


3. After creating a dataset, you may need to refresh the page to see it.


4. To begin completing dataset requirements, click Edit.

5. For Dataset Description tab, please complete all mandatory fields in all sections.


6. Click the Data Files tab


7. Click upload new data file.

Please note, a dataset cannot be published until all mandatory fields on the Data Files page have been completed.

The file must follow a set of formatting requirements. Click below for more information.

Formatting requirements:

  • All dates or timestamps within a column should be in the same format
  • If character type columns have commas or other delimiter type characters within text, then the character type column should have text data within it enclosed in quotes
  • It is recommended that the number of columns in source data file / tables be less than 500
  • Eligible data sources include CSV files
  • It is recommended that string (character, varchar, text) type data columns should be enclosed in quotes
  • If strings that are quoted have same quote within the data elements, then the quote within data element needs to be escaped with a backslash e.g. ’Simon Mc’Freddie’ becomes ‘Simon Mc\’Freddie’


8. Once the file is uploaded, select the supporting files tab and upload any supporting files for the project. This might include data dictionary, read-me docs, scripts for users etc. that you would want to share with the users.


9. Review the entity relationship diagram. If required re-draw the diagram 


10. Ignore the share setting tab 


11. Select pre-publish tab, recheck for any errors as below



12. Once the Pre-publish Checklist is validated, select Start Pre-publish



13. After validation the file is published and the data quality report is available for view and download. Select the view button 



14. Select the version of the published data from the dropdown and click on the view button. Below screen appears and select Data Quality report to download the pdf version of the report to verify the data that has been uploaded. 


Congratulations, your dataset has now been uploaded to the SQL Database Server.
